Projects — an overview
Who this is for: Recruiters and service providers managing productions What you'll learn: What a project is, how to create one, what information it holds, and when to use a project rather than posting a stand-alone job
Overview
A project is a container for an entire production. Inside one project you can run multiple jobs, schedule events, build a team, share files through Project Drive, and maintain a gallery and showcase. Think of it as a production office — everything related to one film, web series, commercial, or shoot lives in the same place.
You do not need a project for every job you post. If you have a single, one-off role to fill, posting a stand-alone job is simpler. Use a project when you are managing several roles at once, working with a dedicated crew, or need shared file storage and communication for a team.
How to create a project
- Go to your Workspace and open the Projects section.
- Select Create project.
- Enter a name for your project (up to 150 characters).
- Choose a plan tier — Starter, Studio, or Enterprise — and a subscription term. Each tier sets limits on members, jobs, events, Drive storage, and Showcase videos. A "Recommended" badge marks the most popular choice.
- Review the price (shown including the applicable tax rate) and tap Next.
- Complete the payment step to confirm your project.
After payment your project is created. You can then open it and fill in the remaining details — category, description, genres, and languages — by editing the project from its home page.
What information goes in a project
Once your project is active, you can add or edit the following:
- Name — the working title of the production
- Category and subcategory — the type of production (for example, Film > Feature Film)
- Genres — applicable to film, series, and short content categories
- Languages — the primary languages of the production
- Description — a summary of the project for your team
The project home page
When you open a project you see:
- Overview — category, subcategory, genres, languages, and description at a glance
- Subscription — your current plan and usage (shown to the project owner)
- Feature cards — quick links to Jobs, Events, Members, and Groups within the project
- Tools — links to Project Drive (shared file storage), Gallery, Showcase, Email, and Settings
- Timeline — key milestones and dates associated with the project
When to use a project vs posting a job directly
| Situation | Recommendation |
|---|---|
| Single role, one-off requirement | Post a stand-alone job |
| Multiple roles for the same production | Create a project, then add jobs inside it |
| You need shared file storage for a crew | Create a project (Project Drive is project-level) |
| You want to schedule auditions or shoot days | Create a project; events live inside projects |
| You want a public showcase of the production | Create a project (Showcase is project-level) |
What happens next
After you create a project you can:
- Add jobs — open the Jobs section within the project and create positions
- Invite your team — open the Members section to add collaborators
- Upload files — use Project Drive for shared documents and assets
- Schedule events — add auditions, shoots, or workshops from the Events section
Common questions
Can I rename a project after creating it? Yes. Open the project, select the edit option, and update the name at any time.
Can I change my plan tier after creation? Contact support to discuss plan changes. Downgrading may not be possible if your current usage exceeds the lower tier's limits.
What happens when my project subscription expires? The project enters a grace period. You can still view it but some actions may be restricted until you renew. After the grace period the project closes.
Can service providers create projects? Yes. Service providers can create projects to manage their own productions or client work.
Is there a limit to how many projects I can have? The number of active projects depends on your account subscription. Check your billing section for your current limit.
